Admin Assistant (Contract)
Responsibilities:
- Managing office supplies, equipment, and ensuring the maintenance of office facilities.
- Provide administrative support to all departments, including the production team, HR, and marketing. This could involve scheduling meetings, preparing documents, and coordinating internal communication.
- Assist in managing financial aspects such as invoicing, petty cash, expense tracking, and budgeting.
- Manage relationships with external vendors and service providers, ensure quality services are received.
- Maintain and manage studio records and documents, ensuring they are organized, up-to-date, and securely stored on our HRIS software. This includes contracts, legal documents, and project files.
- Assist in coordinating staff schedules, leave management, and travel arrangements as needed.
- Organize and coordinate studio events, meetings, and conferences, including logistics, venue, equipment, and catering.
- Oversee the studio’s health and safety policies, ensuring a safe working environment for all employees.
- Assist HR in the onboarding process
- Act as a go-to person for any administrative issues or queries from staff members. Provide solutions and assistance to ensure a cohesive and efficient work environment.
- Safeguard the confidentiality of studio information, projects, client details, and employee records.
Requirements:
- Experience as an HR Assistant, Staff Assistant, or relevant administrative or human resources role is a plus.
- Profecient with HR software, MS Office & Google Workspace.
- Tech-savvy with the ability to quickly learn and adapt to new software and digital tools.
- Understanding of basic HR functions and best practices.
- Excellent organizational and time-management skills.
- Outstanding communication and interpersonal skills.
- Good problem-solving abilities.
